What does a CRM do for an SME?

A CRM is customer relationship management software that brings together contacts, interaction history and sales opportunity tracking.

What would you like to track more effectively?

Your contacts

Gather customer and prospect information, find past exchanges and identify who manages each relationship.

Your opportunities

Define sales stages, track quotes and know which action to take next.

Your follow-ups

Prepare reminders and follow-up rules. Automated messages and their approval steps need a separate scope.

Your activity

Choose indicators your team needs and populate them with sufficiently reliable data.

Existing software or a custom CRM?

The choice depends on your workflows, constraints and ongoing costs. Custom development is not always necessary.

Start with your current tools

We examine functional coverage, available exports and integration options. Work on an existing platform is confirmed after this assessment.

Develop around your business

When your processes require specific features, we define user journeys and prepare an initial version to test. Access, maintenance and future changes form part of the discussion.

How should you choose a CRM?

What budget should you plan for a CRM?

Cost depends on users, features, data migration, integrations and the level of support.

  • At setup: planning, development or agreed platform work, data import and training.
  • Over time: hosting or subscriptions where applicable, maintenance, support and changes.
  • The proposal distinguishes these items; third-party software costs and the scope of support should be explicit.

From separate files to shared working practices

  1. Define the use cases

Agree on users, sales stages, required information and access permissions.

  2. Prepare the data

Review an export, identify duplicates and agree on the fields and history to migrate.

  3. Test a defined scope

Check a complete journey with a few users, the selected connections and error scenarios.

  4. Train and support

Plan onboarding, appoint key users and specify the support available after launch.

Questions to ask before getting started

Can we import our Excel files?

Migration is possible if the files are usable and the fields fit the selected CRM. We examine a sample, map the fields and check a test import before a wider migration.

Can the CRM connect to our website or tools?

This depends on the interfaces, permissions and limits of the software involved. Each connection must specify the data exchanged, frequency, error handling and any costs.

Does a CRM need AI?

No. Well-organised contacts and clear follow-up rules may already meet the need. Help with summaries or draft follow-ups can be considered later, with human approval and access limited to necessary data.

Who can view or export the data?

Access profiles, exports, backups and responsibilities should be agreed before deployment. Also ask how to retrieve your data if you change solutions.

What are the delivery times and ongoing support arrangements?

The timeline depends on scope and data readiness. Training, support and maintenance are specified in the proposal, along with your team’s responsibilities and those of AIBS.
